Privacy Policy

PRTL Inc. (株式会社PRTL; the "Company") complies with the Act on the Protection of Personal Information of Japan (the "APPI") and other applicable laws, and establishes this Privacy Policy (this "Policy") for the handling of user information in "meet" (meet.prtl.jp), the meeting-scheduling service provided by the Company (the "Service").

Article 2 (Information We Collect)

In providing the Service, the Company collects the following information.

  1. About Hosts
    • The email address and name of the Host's Google account
    • Google Calendar information (reading whether times are free or busy in order to determine availability, and writing confirmed bookings — in each case limited to what the scheduling purpose requires)
  2. About Guests
    • The name, email address, agenda and other content entered when booking
  3. Technical information
    • Cookies used to keep you signed in (used for session authentication only)
    • Technical logs to the extent necessary for incident response and abuse prevention

Article 3 (Purposes of Use)

The Company uses the collected information for the following purposes:

  1. to receive, confirm, change and cancel bookings, and to communicate about them;
  2. to place events on the calendars of Hosts and Guests;
  3. for identity verification and account management;
  4. to respond to inquiries;
  5. to prevent abuse and respond to incidents.

Article 4 (Google User Data)

  1. The Service's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
  2. Access to Google Calendar is limited to the scheduling purpose — determining free time and writing confirmed bookings — and is not used for any other purpose.
  3. Google user data is not used for advertising and is not sold to third parties.

Article 5 (Storage Location and Cross-Border Transfer)

  1. The Company stores collected information in a managed PostgreSQL database (a service provided by Neon, Inc.; the server region is currently Singapore).
  2. Accordingly, personal data is handled on servers located in a foreign country (Singapore). Information on Singapore's personal-data protection regime and the protective measures taken by the storage provider is available on request via the contact in Article 13.

Article 6 (No Provision to Third Parties)

Except in the following cases, the Company does not provide personal information to third parties without the individual's prior consent. The Company does not sell personal information.

  1. where required by law;
  2. where necessary to protect a person's life, body or property and it is difficult to obtain the individual's consent;
  3. in other cases permitted under the APPI.

Article 7 (Entrustment)

The Company may entrust all or part of the handling of personal information to the extent necessary to achieve the purposes of use (such as the database infrastructure provider described above). In such cases, the Company selects contractors appropriately and exercises necessary and appropriate supervision.

Article 8 (Cookies)

The Service uses cookies solely to keep you signed in (session authentication). It uses no cookies for advertising or behavioral tracking.

Article 9 (Retention and Deletion)

  1. The Company retains collected information only for the period necessary to achieve the purposes of use.
  2. A Host or Guest may request deletion of Booking Information concerning them via the contact in Article 13. The Company will delete it within a reasonable period, except where retention is required by law.

Article 10 (Security Measures)

The Company takes necessary and appropriate measures for the secure management of personal information — including encryption in transit and access controls — to prevent leakage, loss or damage.

Article 11 (Requests for Disclosure, Correction and Suspension of Use)

In accordance with the APPI, an individual may request disclosure, correction, addition, deletion or suspension of use of their retained personal data. Requests are accepted via the contact in Article 13. After verifying the requester's identity, the Company will respond without delay in accordance with law.

Article 12 (Changes to this Policy)

The Company may amend this Policy in response to changes in law or in the Service. For material changes, the Company will give notice by display within the Service or by other clear means.
